As a coordinator, you are responsible for keeping track of the schedule, and making sure that people start and finish based off their designated times. You'll be managing the timing for all activities, helping the event flow, and ensuring that the schedule is adhered to.
Before the event starts, make sure you review the schedule and know the timing for each activity or segment. Familiarity with the timeline will help you stay ahead and manage any changes or delays.
If a change to the schedule has to be made based on a volunteer’s request, let the host know.
Use the tentative schedule to keep you informed about volunteer timeframes.
Keep everyone informed about upcoming activities or transitions based on the volunteer crew timeline. A quick reminder to the group about what’s next can help attendees stay on track and prevent confusion. If there’s a delay or change in the schedule, inform both the attendees and staff promptly.
During transitions between activities, be available to guide attendees to the right locations or answer questions. Being present in the moment helps maintain order and ensures everyone is in the right place at the right time. If you cannot answer a question that a volunteer/host asks, ask a team member.
